The primary mission of the ETC Registrar Coordinator Office is to facilitate the academic experience of students enrolled in the college, from the time of registration to graduation. ETC Registrar Coordinator is accountable to the Wollega University Main Registrar in respect to policies, rules, standards and guidelines while the coordinator shall be accountable to the College Dean in respect of matters within the domain of the college concerned.

ETC Registrar Coordinator Office is responsible for keeping all student records and for providing the secretariat to the College Academic Committee (AC).

Duties & Responsibilities of ETC Registrar Coordinator Office

Registrar Coordinator Office Shall:

  • be responsible for registration, allocation of classrooms and lecture halls, and other registrar related functions for the departments within the college concerned;
  • provide proper guidance, leadership and supervision of the registrar personnel and their activities at college level;
  • maintain a statistical data on academic performance and progress, academic excellence and rate of retention of students and services rendered and regularly submits to the same Dean/Director and the Registrar;
  • develop efficient systems for handling add and drop, withdrawal/clearance and re- admissions;
  • contribute to the preparation of the Academic Calendar of the University and ensure that it is respected by department  within the college;
  • ensure that students who have completed graduation requirements are immediately presented to the AC;
  • plan, prepare and issue ID cards to students in consultation with the Main Registrar;
  • prepare enrolment and other necessary data including prospective graduates and submit to the Office of the University Registrar on a timely basis and as required;
  • ensure that GCRs approved by the college body concerned are forwarded for approval and timely conferment of degrees and diplomas;
  • ensure that all student records are immediately transferred to the Office of the Main Registrar upon graduation of the student;

Admissions to undergraduate and postgraduate programs in any modality shall be based on completion of prerequisite courses and obtaining pass marks or on the basis of equivalent academic achievements.

In case of serious problem if the student pursues withdrawal from the College for a number of a semester the college registrar will attest. Application to withdraw must be within 2-4 weeks after registration for the semester and presented to the respective program coordinator. A student who withdraws for adequate reason will renew each year if he/ she intends to extend the admission. Finally based on completion of each academic year and upon graduation, students must undergo proper clearance procedures.
